What is the Articulate Storyline localization feature?

The Articulate Storyline localization feature pulls all text from a course into a Word or XLIFF file, sends it out for translation, and imports it back into the original layout. Course structure, interactions, and formatting stay in place, while only the text changes.

How the built-in Storyline 360 translation workflow works

The classic Articulate Storyline localization workflow — the standard course translation route inside Articulate 360 — runs in six steps.

  1. Prepare the course. Keep terminology consistent across slides, move any text baked into images out into editable text boxes, and put voiceover scripts in slide notes so a translator has something to work from. Button labels and player text need to be checked separately from slide content.
  2. Export the translation file. File > Translation > Export. Word (.docx) gives human translators readable context; XLIFF suits CAT tools and professional vendors. XLIFF 2.0 handles formatting more reliably on re-import than the older 1.2 format, so it’s worth choosing where the vendor supports it. The XLIFF export covers slide text, quiz questions, button labels, and slide notes.
  3. Translate the file. Storyline doesn’t translate anything itself — the file goes to an in-house translator, an outside vendor, or a CAT tool, and comes back with the target-language text filled in against the original.
  4. Import the translated file. The XLIFF import drops each translated string back into its original text box, with layout, interactions, and formatting intact.
  5. Review every slide. Translated text expands 20–40 percent in Germanic languages and often contracts in Chinese, Japanese, and Korean (CJK) scripts. Every slide needs a manual pass for overflow, cut-off labels, and broken layouts — there’s no automated fix built into this workflow.
  6. Handle voiceover and captions separately. Neither is part of the XLIFF export. Captions export one at a time as VTT files through View > Media Library > Audio, and translated voiceover needs its own production track: scripted, recorded, and re-synced independently.

What the Storyline Localization feature does not cover

Neither workflow handles every part of a localized course. Knowing the gap ahead of time keeps a project on schedule.

  • Voiceover. Scripting, casting, recording, and syncing translated narration is its own production track — often the slowest part of a localization project.
  • Closed captions. Not part of the XLIFF export. Each caption file has to be exported on its own, translated separately, and re-synced to the audio.
  • Text inside images and graphics. Anything built into an image layer doesn’t show up in the export and has to be recreated by hand in the target language, usually from the original design files.
  • Alt text and accessibility metadata. Not exported by either tool, and has to be updated language by language for Section 508 / WCAG compliance.
  • Cultural adaptation. Both tools translate words, not meaning. A scenario, example, or visual that works well in one region can fall flat or offend in another, and only a reviewer who knows the target culture can catch that.
  • Layout QA at scale. The Layout Issue Finder flags overflow but doesn’t fix it. Every flagged slide still needs a person to decide what to do with it.

Based on our experience, the export/import workflow covers roughly 60–70 percent of what a fully localized course actually needs. Voiceover, captions, cultural review, image work, and accessibility updates make up the rest, and none of it happens automatically.

Best practices for Storyline 360 localization

  • Design for localization before production starts. Flexible text boxes with room to grow, no text baked into images, and consistent terms across every slide save far more time than fixing a poorly structured course later.
  • Build a glossary first. Product names, UI terms, and brand vocabulary should be settled before translation starts, then loaded into the CAT tool or Articulate Localization so it applies automatically.
  • Use translation memory. Repeated strings get translated once and reused everywhere. This matters most for courses that are updated often, since only the changed strings need to be retranslated.
  • Budget for text expansion. Germanic and Slavic languages typically run 20–40 percent longer than English source text, with Finnish and Hungarian expanding even more; Arabic and CJK scripts often shrink instead. Planning for this at the design stage avoids a slide-by-slide scramble later.
  • Pair AI translation with human review for anything learner facing. AI produces a usable first draft fast, but tone, cultural fit, and domain terms still need a human pass. For pharma, compliance, or finance content, that review isn’t optional.
  • Treat voiceover and captions as a separate, parallel track. Scripting, recording, and syncing translated audio alongside the text, rather than after it, keeps timelines on track.
  • Test with the target audience before rollout. A short pilot with native-language speakers catches tone, cultural, and layout issues a translator wouldn’t notice.

The built-in tools handle text mechanics well. Audio, cultural fit, layout edge cases, and quality assurance at scale sit outside them, and that’s usually where projects slip.

  • Regulated or certified content. Pharma, compliance, and financial training often need sign-off from a subject-matter expert or legal reviewer in the target language. AI translation and in-platform validation don’t cover that.
  • Voiceover across several languages. Scripting, casting, recording, and syncing audio across five or ten languages is a full production job that the built-in tools don’t touch.
